The team

Shepherd and Wedderburn are currently recruiting for an Events Assistant to join their Marketing & Business Development (MBD) team based at our Edinburgh office. Reporting to the Events Manager and working as an integral member of the MBD team, the Events Assistant is responsible for the implementation of the firm’s events and related activities which deliver business development and/or profile-raising opportunities for the firm. A key element of the firm’s business plan is to generate additional revenue and grow its practices and therefore a structured approach to focused and effective marketing and BD activities is required.

  • Event management or administration experience within professional services
  • Strong team player
  • Highly efficient and organised
  • Able to act and promote oneself as a trusted advisor
  • Excellent IT skills
  • Multi-tasker able to project manage variety of inputs and stakeholders
  • Knowledge and understanding of developments within the events marketplace

 

Technical Skills/Experience

  • Support the execution of the firm’s Marketing and BD strategy through the development and implementation of tailored events
  • Responsible for supporting a number of a strategic annual events, including both internal and external events
  • Supporting the team in identifying external conferences, dinners etc. to attend to achieve desired objectives
  • Working closely with Marketing, BD Managers and other stakeholders, to support the delivery and administration of events as well as project work
  • Supporting the team in the management and implementation of allocated client event-related activities (working with appropriate support from across the firm as required)
  • Delivery of the event/project plan, including co-ordination of various inputs and all elements of events planning.
  • Management of invitation design and mailing
  • Venue liaison and identification of requirements
  • Preparation and management of event materials such as badges, merchandise, etc.
  • Liaison with all stakeholders (internal and external)
  • Front of house management
  • Supporting with budget management, invoice processing, and assessment of return on investment
  • Management of Memberships
  • Assist MBD team with wider projects and internal events
  • Internal promotion and communication of the breadth, depth and quality of firm event-related activities to encourage cross-selling activities, acting as an ambassador for the firm’s Marketing and BD team and as a Shepherd and Wedderburn brand ambassador representing the firm at client events.
  • Any other reasonable duty as directed by the line manager

Business/Work Management

  • Clear understanding of the firm’s strategy and ability to advise accordingly
  • Ability to build and maintain strong relationships with external suppliers
  • Works as part of a team to attain objectives within agreed timescales and budgets.
  • Prepares well for meetings with guidance.
  • Makes effective use of the firm’s information management systems and complies with all legal and regulatory requirements.
